The Brain Friends Full Safeguarding Policy (Including Zoom Safety Protocols)

1. Our Commitment to Safeguarding

The Brain Friends™ programme is committed to creating a safe, secure, and supportive environment for all children participating in our online sessions. We believe that every child has the right to learn, play, and express themselves safely, and we take our safeguarding responsibilities seriously.

This policy outlines our approach to safeguarding, reporting procedures, safer recruitment, Zoom-specific safety measures, and ongoing training. It is aligned with the UK Government's guidance "Working Together to Safeguard Children" (2018) and relevant updates.

2. Designated Safeguarding Lead (DSL)

3. Safer Recruitment & Staff Checks

All staff and facilitators:

  • Hold an Enhanced DBS check (UK-based staff)
  • Provide references prior to engagement
  • Complete child safeguarding and online safety training
  • Agree to a Code of Conduct outlining appropriate professional behaviour
  • Are subject to regular supervision and reviews

4. Code of Conduct for Staff

All Brain Friends™ team members agree to:

  • Use child-friendly, respectful language
  • Maintain appropriate boundaries and professionalism at all times
  • Report any concerns immediately to the DSL
  • Avoid one-to-one online interactions unless pre-agreed with a parent/carer and recorded in writing

5. Online Session Safety (Zoom Protocols)

a. Pre-Session Setup

  • All sessions use secure Zoom links with passwords
  • Waiting rooms are enabled; children are only admitted manually by the host
  • Each group has a maximum of 10 children for safety and engagement

b. During Sessions

  • Sessions are never recorded
  • Children use first names only
  • Cameras must remain on unless prior agreement is made for sensory or privacy reasons
  • Children aged 4–9 must have a parent/carer nearby; for 4–6s, a parent/carer must remain visible
  • Private chat and screen-sharing are disabled; chat is monitored

c. Behaviour & Group Safety

  • All children are expected to follow group rules: be kind, take turns, listen
  • Facilitators may mute or remove a participant for behaviour that risks the safety or learning of others
  • Any recurring issues will be discussed with parents/carers

d. Incident Reporting

  • Any safeguarding issue is logged in a secure file by the DSL
  • Parents are contacted as appropriate
  • Where necessary, referrals are made to the local authority or other safeguarding services

6. Parent and Carer Responsibilities

Parents/carers agree to:

  • Provide a quiet, safe environment for their child during sessions
  • Be reachable during the session in case of technical or emotional support needs
  • Communicate any wellbeing or access concerns in advance
  • Respect session boundaries (e.g., not interrupting the group unless needed)

7. Recognising Abuse or Harm

Staff are trained to look out for signs of abuse, neglect, or distress including:

  • Unexplained injuries or frequent accidents
  • Withdrawal, mood changes, or unusual behaviour
  • Verbal disclosures or unsafe online behaviours

If concerns arise, we will:

  1. Log the concern confidentially
  2. Notify the DSL (or deputy)
  3. Consult with the parent if safe to do so
  4. Refer to external agencies if appropriate

8. Confidentiality and Data Protection

  • All data is handled under our GDPR policy
  • Session discussions are confidential unless a safeguarding concern arises

The Brain Friends Rolling Programme: Terms and Conditions

1. Overview

The Brain Friends™ Rolling Programme provides online, educational group sessions for children aged 4 to 16 to build emotional regulation, resilience, confidence, and self-awareness through character-based learning. Sessions are delivered via Zoom and are facilitated by trained coaches. This is an educational service and not a therapeutic or clinical programme.

2. Session Structure

  • Sessions are delivered weekly in age-specific groups:
    • Tame Time Junior (Ages 4–6, with parent/carer present)
    • Tame Time (Ages 7–9)
    • Brilliant Brain Lab (Ages 10–12)
    • Brain Lab Teens (Ages 13–16)
  • Each session lasts 30 minutes.
  • Sessions are held live on Zoom and are not recorded.
  • Groups are limited to a maximum of 10 children per session.

3. Payment and Subscription

  • Your first session is free.
  • Ongoing sessions are billed via GoCardless at £89 every 4 weeks in advance.
  • This fee includes all live sessions and any accompanying digital resources.
  • Subscriptions auto-renew every 4 weeks unless cancelled (see Section 4).

4. Cancellation and Refund Policy

Right to Cancel – 14 Calendar Day Cooling-Off Period

You have the right to cancel this agreement without any reason within 14 calendar days, starting from the date of sign-up, including the day of your first session.

If you attend a session during the 14-day cooling-off period, the value of that session may be deducted from your refund. If you have accessed any digital resources during this time, this may also affect your refund amount.

Extended Right to Cancel

If the supplier has not complied with consumer protection law in relation to an unsolicited consumer agreement, you may have up to 6 months to cancel. In such cases, contact us by email or post.

Effect of Termination

If cancelled within the cooling-off period, the agreement is treated as if it never existed. Any physical or digital materials provided must be returned or access revoked.

5. Session Suitability and Behaviour

Children should:

  • Be comfortable on Zoom with their camera on (with parent/carer support if needed)
  • Be willing to participate in a group setting
  • Be able to follow simple group rules such as taking turns and listening

All families complete a short onboarding screening to assess suitability.

We aim to make our sessions inclusive and supportive. However, we recognise that group settings may not be right for every child. 

If a child consistently struggles with behaviour that impacts the safety, wellbeing, or experience of others in the group, or is unable to engage meaningfully over time, we may pause their place and discuss options with the parent/carer. 

In some cases, we reserve the right to discontinue a child’s place if the sessions are not suitable. This is always done with care and in the child’s best interests. 

We will not discriminate on the basis of disability or additional needs and will make reasonable adjustments wherever possible.

We reserve the right to pause or cancel a child’s place if the sessions are not a suitable fit or if safety expectations are breached.

6. Safeguarding and Privacy

  • All coaches are DBS-checked and trained in online safeguarding best practices.
  • Sessions are never recorded.
  • Children must be in a safe, quiet space with a trusted adult nearby for younger age groups.
  • Parents/carers will be contacted if there are any safety concerns.

7. Data Protection (GDPR)

  • We collect minimal personal data needed to provide the service.
  • This includes: child’s first name, age, parent contact details, and any access or support needs disclosed voluntarily.
  • Data is stored securely and never shared with third parties.
  • You may request to view, update, or delete your data at any time.

8. How to Cancel a GoCardless Subscription

To cancel your subscription:

  • Visit your GoCardless account or follow the instructions in your welcome email.
  • Alternatively, email emily@mindtoolsforkids.com and we will process the cancellation for you.

9. Digital Resources

  • Programme fees include optional printable and digital resources.
  • These are for personal, non-commercial use only and may not be shared, copied, or sold.

10. Changes to Terms

We reserve the right to update these Terms & Conditions. You will be notified of any significant changes via email or during session communications.
